The How-To Toolkit

Host a Bake Sale
in Your City

Here's your step-by-step guide to organizing an Ice Cakes Not People bake sale. Whether you're a bakery owner or a home baker, this toolkit has everything you need. Let's do this, bakers!

1

Determine Timing, Host & Location

The main bake sale dates are March 7th, 8th & 14th, but really anytime in March works โ€” it's flexible!

Decide who's organizing and where you'll host. If you own a bakery, store, or public space, you might be both. If you're a home baker looking for a spot, you can:

  • Partner with an establishment โ€” reach out to breweries, restaurants, bakeries, stores, crafting studios, or other businesses that might want to host.
  • Find a public space โ€” parks, plazas, gardens, public libraries, or museums.
2

Coordinate with Other Bakers

Amy is grouping outreach by city and connecting bakers in the same region so you can join forces. Cities like Minneapolis, NYC, San Francisco, LA, and Chicago already have groups forming. Email amy@overseasoned.com to get connected with bakers near you.

3

Share Your Details for Promotion

Send your event details (time, location, contact email) to amy@overseasoned.com and Amy will either create a flyer for you or help you customize the Canva template. Don't stress over design โ€” she's happy to help!

4

Recruit Your Bakers

Put out a call on Instagram and email to solicit bakers. Think of all the bakers and home cooks you know and personally invite them โ€” don't be shy!

  • Ask bakers to contribute 1โ€“2 dozen of an item.
  • Have them share what they're making ahead of time so you get variety (not hundreds of chocolate chip cookies!).
  • Ask for day-before drop-offs so you can stage and set up your space.
5

Get Your Equipment Ready

๐Ÿ›๏ธ Bakery bags
๐Ÿ“ฆ Cake boxes
๐Ÿงค Gloves
๐Ÿงป Bakery tissue
๐Ÿช‘ Folding tables
๐ŸŽจ Tablecloths
๐Ÿท๏ธ Place cards
๐Ÿ“ฑ Venmo QR code sign

Use place cards to label each item with the baker's name โ€” like "Patricia's Pumpkin Pies". Accept cash and Venmo โ€” print a sign with your Venmo QR code so attendees can easily scan and pay.

6

Promote, Promote, Promote!

Getting attendance is THE path to raising money, so don't be shy about promoting! Here's how:

  • Post flyers at your space, coffee shops, bookstores, libraries, and grocery stores.
  • Print physical copies at Staples and put them everywhere.
  • Ask all your bakers to promote on their channels too.
  • Reach out to local news, TV, bloggers, and magazines.
  • Share on Instagram and email your community.

Need a flyer? Email amy@overseasoned.com โ€” Amy will help create one or send you the Canva template.

7

Price It Right

Since this is a fundraiser, inflated prices make sense โ€” people are there to make a donation! Don't underprice โ€” you want to raise as much as possible.

๐Ÿช Cookies $3
๐Ÿง Cupcakes $5โ€“6
๐Ÿž Bread Loaves $10โ€“15
๐Ÿฅง Whole Quiche $25โ€“30
๐ŸŽ Gift Boxes $30โ€“50
8

Day-Of: Make It Fun!

Don't forget the music and decor! Add raffle baskets for even more ways to engage attendees and raise money. Ask a friend or two to be there the entire event as a second set of hands.

โ˜…

Give Back!

Choose the immigrant rights organization you want to donate to. This is left open-ended because city by city, there are different urgent areas of need โ€” like GoFundMe campaigns in Minneapolis or food drives in Maine. Once you make your donation, let Amy know so she can catalog it across the entire group.

No amount is too small. No matter what you raise, it is a great effort. EVERY DOLLAR COUNTS.
